Event Ticket & Workshop Booking Terms

These Event Ticket & Workshop Booking Terms (Event Terms) apply to tickets and places purchased for workshops, classes, events, demonstrations, talks, programs and other ticketed activities offered by Hillform Studio Inc (Hillform). By completing a booking, the purchaser agrees to these Event Terms and must make them available to any other attendee included in the booking.

The event listing, booking confirmation and any event-specific conditions form part of the booking contract. If an event-specific condition clearly conflicts with these Event Terms, the event-specific condition will apply to that event to the extent of the inconsistency, subject always to rights that cannot lawfully be excluded.

1. Bookings and payment

  • A booking is not confirmed until Hillform receives the required payment and issues a booking confirmation.
  • Prices are in Australian dollars and include GST where applicable.
  • The purchaser is responsible for checking the event name, date, time, number of places, attendee details and any eligibility or age requirements before payment.
  • Hillform may set minimum or maximum participant numbers and may close bookings when capacity is reached.

2. Multiple-attendee bookings

A purchaser may book more than one attendee where the event permits. The purchaser must have authority to provide the attendees’ information and must ensure each attendee is aware of these Event Terms and any event-specific requirements.

Hillform may request each attendee’s name, email, postcode, dietary requirements, accessibility requirements, emergency contact information or other details reasonably required to administer the event. For children’s activities, Hillform may also require age information and parent or guardian details or consent.

3. Workshop and program requirements

  • Attendees must comply with reasonable instructions given by Hillform staff, facilitators or contractors, including safety and equipment instructions.
  • Where an event has prerequisites, age restrictions, clothing requirements or materials requirements, those requirements will be stated on the event page or communicated before the event and form part of the booking.
  • For a multi-day or multi-session program, the booking is for the program as described. An attendee who misses a session is not automatically entitled to a make-up session, partial refund or credit unless Hillform agrees otherwise or the law requires it.
  • Attendees are responsible for arriving in sufficient time. Late admission may not be possible where it would disrupt the activity or create a safety issue.

4. Dietary, allergy, access and health-related information

Hillform will take reasonable steps to accommodate dietary and accessibility requirements that are disclosed in advance, but not every requirement can necessarily be met. Unless Hillform expressly confirms otherwise, food may be prepared or served in environments where allergens are present and Hillform cannot guarantee an allergen-free environment.

If an attendee has a medical, access or other requirement that may affect safe participation, the purchaser or attendee should contact Hillform at info@hillform.com.au before booking where possible. Hillform may discuss reasonable adjustments or, where an activity cannot safely or reasonably accommodate the requirement, alternative arrangements or a refund as appropriate.

5. Customer cancellation and change of mind

Unless an event page states a different cancellation policy, the following standard policy applies. Timeframes are measured from the scheduled start time of the event, or the first session of a multi-session program:

Notice givenStandard outcome
14 days or moreChoose a full refund of the ticket price paid to Hillform or a credit for the full ticket value.[cite: 11]
7–13 daysChoose a 50% refund of the ticket price or a credit for the full ticket value.[cite: 11]
Less than 7 daysNo refund for change of mind. Where the event permits, the booking may generally be transferred to another eligible attendee if Hillform is notified at least 24 hours before the event.[cite: 11]

Cancellation requests must be made by email to info@hillform.com.au or through the contact details published on hillform.com.au. Hillform may offer additional flexibility for illness, bereavement, emergency or exceptional circumstances, but this is discretionary unless the law requires a particular remedy.

If Hillform is able to fill a late-cancelled place from a waitlist, Hillform may choose to offer a credit or other accommodation. This does not create an entitlement for all late cancellations.

6. Ticket transfers

Unless the event is expressly non-transferable, personalised, age-restricted or subject to specific eligibility requirements, an attendee may transfer their place to another suitable person by notifying Hillform before the event. Hillform may require the replacement attendee’s details, including information relevant to safety, access or catering. Tickets must not be resold for commercial gain without Hillform’s written consent.

7. Cancellation, postponement or changes by Hillform

Hillform may need to cancel, postpone, reschedule or change an event because of facilitator illness, insufficient registrations, severe weather, bushfire or emergency conditions, unsafe access, utility failure, public health requirements, venue issues or other circumstances that make delivery impracticable or unsafe.

If Hillform cancels an event and does not provide the booked service, the purchaser may choose a full refund of the amount paid to Hillform for the cancelled event or a credit, subject to any different remedy required by Australian Consumer Law.

If Hillform materially changes the date, time, location or essential nature of an event, Hillform will notify affected purchasers and provide a reasonable option to accept the change, transfer to another available event, receive a credit or receive a refund for the affected service. For a multi-session program that has already commenced, any refund may relate to the undelivered portion, subject to applicable law.

Minor changes that do not materially alter the event — for example a change in room, running order or substitute facilitator of comparable capability — do not automatically create a right to a refund, except where required by law.

8. Conduct and safety

Hillform is intended to be a safe, respectful and inclusive creative environment. Hillform may refuse admission or require a person to leave where the person behaves dangerously, unlawfully, abusively or disruptively, is materially intoxicated, damages property, or refuses reasonable safety instructions. Where removal results from the attendee’s conduct, Hillform is not required to provide a change-of-mind refund, subject to applicable law.

9. Personal property and materials

Attendees are responsible for their personal belongings. Hillform will take reasonable care but is not responsible for loss of or damage to personal property except to the extent caused by Hillform’s negligence or otherwise required by law. Any materials, tools or artworks left at Hillform after an event must be collected within any timeframe notified by Hillform.

10. Photography and recording

Hillform may take general photographs or video at some events for documentation or promotion. Where identifiable participant images are intended for promotional use, Hillform will provide reasonable notice and, where appropriate, an opportunity to opt out. Hillform will seek appropriate parent or guardian consent before knowingly using identifiable images of children for promotional purposes.

Attendees must not record or publish material in a way that infringes another person’s privacy, intellectual property or other rights, or materially disrupts the event.

11. Consumer rights and liability

Nothing in these Event Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or any other applicable law.

To the extent permitted by law, Hillform is not liable for loss arising solely from an attendee’s failure to follow reasonable instructions, failure to disclose a relevant participation requirement, misuse of equipment or materials, or other act or omission outside Hillform’s reasonable control. Any limitation of liability in these Event Terms operates only to the extent permitted by law.

12. Contact and governing law

Questions or cancellation requests should be emailed to info@hillform.com.au or made using the contact details published at hillform.com.au. These Event Terms are governed by the laws of New South Wales, Australia, and the parties submit to the courts and tribunals having jurisdiction in New South Wales, subject to any rights to bring a claim elsewhere under applicable consumer law.
